*Valvoline World Headquarters is located in Lexington, KY, but we invite candidates living in nearby markets to apply as well. Ideally, we are open to remote candidates living within driving distance (i.e., Cincinnati, Louisville, etc.) willing to visit HQs 2-3 days a week.

How You’ll Make an Impact

The Payroll Manager reports to the VP, Total Rewards and leads the Payroll Department. The Payroll Manager builds and develops a strong and integrated team that leverages technology and processes to ensure accurate, timely and efficient payroll processes and outcomes for the company. Provides insight into real time payroll-related costs, business improvement initiatives and regulatory compliance. A continuous process improvement orientation reviews rework, errors, and adjustments to identify opportunities for greater efficiency and effectiveness. In the role, you would be responsible for:

  • Ensuring accurate and timely preparation and balancing of multiple weekly/bi-weekly and special (off-cycle) payrolls for salaried and hourly employees located within 40+ U.S. states and Canadian provinces. Drafts payroll policy and recommends procedural changes for the Payroll Department. Manages outside payroll    vendors, such as ADP, for production, funding, problem resolution and error correction. Develops, implements and maintains payroll disaster recovery and pandemic processing emergency plans.
  • Handling various payroll adjustments, including shortages, garnishments, vacation pay, bonuses, etc.  Prepares periodic payroll-related analyses, statements, and projections. Assists managers with U.S. FLSA/state non-exempt employee hours worked monitoring and overtime pay.
  • Building and leading the Payroll team, developing payroll processes and procedures, and execution of all payroll functions. Assists with the development and maintenance of the workforce management system. Leads continuous process improvement of payroll systems and technology.
  • Maintaining accurate payroll data in accordance with company accounting, tax and audit policies, and compliance with IRS and state/local wage and hour record retention regulations. Responsible for all tax compliance requirements related to payroll, including, but not limited to, federal, state, and local tax and reporting, garnishments, tax levy’s and child support orders. Ensures adherence with US FLSA, state and/or local jurisdiction exempt and non-exempt  overtime payment requirements.   
  • Ensuring manager and employee issues, questions and concerns are responded to promptly, whether directly or through other members of the HR and payroll team. Proactively addresses ongoing problems.
  • Acting as payroll project management lead including, but not limited to, HRIS programs, acquisitions, new policies, changes to benefits or compensation plans, tax (including withholdings) law, state/local sick pay/family leave, etc.
  • All other duties and responsibilities as determined by Valvoline from time to time in its sole discretion.

What You’ll Need

  • Bachelor’s Degree with emphasis in Accounting or Business 
  • Minimum of five years’ experience in a full-cycle, multi-state payroll function within the U.S and Canada
  • Corporate accounting department experience recommended
  • Experience in a smaller, rapidly changing, environment where you have had significant responsibility for creating and enhancing policies and procedures
  • Experience setting up and managing various state tax accounts and filings
  • A minimum of two years of supervisory responsibility
  • HRIS experience: SAP, UKG, ADP, Workday
  • Working knowledge of federal/state wage and hour regulations
  • Extensive knowledge of the payroll function including preparation, balancing, internal control and payroll taxes

  • Understanding of accounting processes and procedures and US GAAP

  • Excellent organizational, analytical, and problem-solving skills; exceptional attention to detail. Proficient with Excel.

  • Detail oriented and demonstrated ability to perform work with a high degree of accuracy, which requires expert level analytical and quantitative skills

  • Ability to lead and develop a small team, creating and driving an inclusive culture

  • Customer oriented, with strong communication skills across all levels of the organization

  • Proven experience with HRIS and Payroll Systems, preferably SAP and ADP

  • Critical thinking skills with the ability to problem-solve and multi-task

  • Must be authorized to work in the U.S.
