How You’ll Make an Impact

The Accounts Payable Analyst is primarily responsible for managing and processing invoices and payments, ensuring accuracy and timeliness. This role will be responsible for coordinating with various departments to obtain and acquire data and invoices, submitting payments to external vendors and suppliers, identifying errors and inconsistencies, and providing corrective measures. Additional responsibilities include addressing issues and concerns through calls and correspondence and logging incoming/outgoing checks received on Campus. In the role, you would be responsible for:

  • Managing the full accounts payable cycle from receipt of invoices to payment including scanning invoices, matching purchase orders, obtaining approval, coding/entering the invoices into the accounting system.
  • Investigating and resolving problems associated with processing of invoices and purchase orders. Researches and resolves a variety of routine internal and external inquiries concerning account status, including communicating the resolution of discrepancies to appropriate persons.
  • Working with internal stakeholders to process critical/urgent docs and resolves any ACH/check returns, refunds and check voiding problems. Also works with purchasing team on a daily basis to get discount on time for all discount vendors.
  • Working closely with Accounting to close out the PO, clarifies questions related to monthly GL clearing and solves GR/IR issues
  • Managing vendor relations and building effective partnerships. Helps to identify and implement process improvements. Assists team with gathering support for all audits, which includes providing documentation.
  • Ensuring all accounts payable policies and procedures are adhered to including vendor approval and invoice processing. Works with IT-related issues and works with Procurement to update payment terms, performs vendor set up, and works with Master Data to submit bank changes through Win shuttle application.
  • Logging/mailing incoming checks and distributing special handling checks received in the Lexington office. Works with the business to identify correct customer/vendor accounts and any special mailing requirements needed.
  • Other duties and responsibilities as determined by Valvoline from time to time in its sole discretion.

What You’ll Need

  • Bachelor Degree in business or a related field
  • Minimum of three years' experience directly related to the duties and responsibilities specified
  • Thorough understanding of general accounting
  • Intermediate proficiency in MS Office with a strong emphasis on Microsoft Excel
  • Ability to adhere to tight deadlines and quick turnaround for accounting deliverables
  • Ability to effectively present information and respond to questions from management, vendors, and associates
  • Strong organizational skills
  • Ability to work collaboratively in a dynamic environment where adaptability is imperative
  • Accuracy with a strong attention to detail
  • Strong written and oral communication skills
  • Must be authorized to work in the U.S.
